Project Officer

  • Salary: €42,500 + Benefits Package
  • Holidays: 23 days plus statutory holidays

  • Based at our Dublin Office (St Stephen’s Green) – with ability to work remotely

  • Recently launched a US School in January 2025 and also active in Australia.
  • Support our clients to use our ESG / Sustainability Tool to report their progress on sustainability actions.
  • Led the authoring of the ISO 20400 in sustainable procurement and are now leading global adoption through our social enterprise arm, Action Sustainability CIC and our commercial consultancy services.
  • Provide bespoke, specialist business advice, training, and practical tools to leading organisations in private and public sectors

General Duties and Responsibilities:

  • Plan and arrange training schedules, including devising subject choices, arranging all logistics, venue liaison (if relevant), processing bookings and liaising with trainer(s).
  • Ensuring that the business plan and KPI’s set are met on a quarterly and annual basis and reporting against this, or where required.
  • Work with Operations Manager and Programmes Manager to manage costs / income and ensure delivery on budget.
  • Track progress and activity of individuals and companies that have engaged with the various training programmes.
  • Develop ways in which individuals can continue their learning journey through the School such as developing learning pathways and feeding into the development of customer automation journeys, in particular that relate to your various projects.
  • Writing reports, meeting preparation, taking meeting notes and following up on actions, diary management and other administrative duties.
  • Preparing power point presentations and other promotional materials to help raise the School’s profile and attract new Members and Partners.
  • With the support of the Marketing team, promote the various training activities through various channels (social media, email marketing etc) as required.
  • Act as customer support for School membership to understand needs and fulfil any actions.
  • Engaging and developing relationships with the School Partners to deliver key outputs.
  • Understand in depth, the School functionality to help drive the development of the system.
  • Attending training sessions where necessary to support the trainers; attend supporting events to promote the projects as necessary.
  • Speaking about the School at public events or events organised by our Partners or stakeholders.
  • Other tasks as instructed which support the projects or business as a whole.

Key Responsibilities:

Training activity delivery

  • Admin & delivery of all the main Public Events Programme (8 workshops, 8 LnLs, 4 VCs = 20 Public Training Sessions in total. This includes:
    • General Admin duties
    • delegate liaison
    • speaker liaison
    • hosting the session in terms of technical requirements (NOT facilitating or training)
    • post-session admin (recording attendees etc)

Partners (Customer success)

  • Partner Training Programme – offering / managing / delivery of Partner sessions
  • Partner relationships and account management – regular liaison with Partners to drive engagement of School. (Currently 25 Partners – aiming for 35 by March 2026); includes uploading priority suppliers; creating learning pathways etc
  • Onboarding new Partners.

CMS & LMS

  • Making change to the CMS where necessary (website page updates)
  • Inbound enquiries (email inbox/ phone)
  • Content and resource library – track development of new “in-house” resources and ensure new 3rd party content is being added to library (working with Content team)

Marketing

  • Marketing / Email Campaigns – working with marketing and other colleagues to ensure regular flow of outbound communications
  • Social Media – working with marketing and other colleagues to ensure regular flow of outbound communications

Other

  • External Relationships – eg IGBC, Guaranteed Irish, Dublin Chamber, BITC Ireland – day to day oversight to collaborate with other membership / trade bodies.
  • Speak / attend occasional external events (eg Partner Supply Chain Conferences). NB – this would usually be supported by Programmes Manager / Operational Manager

Key skills

Proven project management skills, with basic marketing and commercial skills will be required for the successful applicant, specifically

  • Sound project management skills and experience of managing projects to completion.
  • Ability to engage meaningfully with colleagues and stakeholders, understand and assess their views and build a consensus.
  • Proven ability to understand the key drivers of the stakeholders and project and the wider market, working collaboratively with the wider business at all times.
  • Takes on full ownership and responsibility to deliver against target, solve problems and manage workload proactively.
  • Demonstrates the importance of using data analysis to inform decisions in projects and wider business decision making.
  • Good understanding and use of website content (WordPress) and email marketing platforms.
  • Able to produce professional reports and materials with very high level of accuracy and credibility.
  • Proven ability to lead and facilitate stakeholder meetings; gain consensus and proactive approach to ensuring all actions are completed
  • Experienced in budget management and cost control.
  • Able to manage and feed into the business planning process of the project.
  • Ability to multi-task and prioritise in a busy environment.
  • Ability to communicate clearly in both verbal and written form, with excellent presentation skills.
  • Good organisational skills with attention to detail and ability to work in a flexible and creative way.

Knowledge & Experience

Applicants should meet the following criteria:

  • Proactive approach – a “can do” attitude and proven ability to make things happen (essential).
  • Passion for sustainability (desirable).
  • Understanding of the Construction Industry (desirable).
  • Line management experience (desirable).
  • Experience in the development of learning courses and materials (desirable).
  • Experience of organising both online and face to face events (desirable).
  • 2-3 years working in a fast-moving commercial marketing and events environment (desirable).
